Overview

A data sharing agreement (DSA) is a formal document that sets out the terms under which one organisation shares personal or other data with another. It explains:

  • why data is shared

  • how it will be used

  • the responsibilities of each organisation involved

Hwb data sharing agreement

The Hwb User Management Portal (UMP) includes a dedicated area for managing data sharing agreements. Schools and local authorities can:

  • select data controllers

  • view and agree to agreements

  • check who has signed agreements

  • access agreement history and reporting

The agreement sets out the responsibilities for processing personal data so that staff and learners can access Hwb services.

Different agreements may apply depending on the services being used. Schools and local authorities may be asked to review and agree to additional agreements where required.

Who can agree to a data sharing agreement

The Hwb Data Sharing Agreement is a legal document. It must be entered into by a school's headteacher or a member of the senior leadership team acting on their behalf.

Schools and local authorities are responsible for ensuring that appropriately authorised individuals review and agree to data sharing agreements on behalf of their organisation.

Agreement updates

Data sharing agreements may be updated to reflect changes to services, processes or legal requirements. When this happens, organisations may need to review and agree to the updated version before continuing to use the relevant service.

Agreement history

A record of accepted agreements is maintained. This provides a history of agreements and any updates that have been agreed.

Further support

Guidance for schools and local authorities on data sharing agreements is available.
