Microsoft 365 Licences

Suggested audience: learners, parents, school staff, school digital champions, local authority Hwb administrators, regional education consortia Hwb administrators.

Further to the Minister for Education’s press release in March 2019, Microsoft 365 A3 licences are now available for learners and MIS staff in all maintained schools in Wales.

The agreement for Microsoft 365 A3 includes:

  • Office 365 pro Plus
    • Access to the latest versions of Word, Excel, PowerPoint, OneNote, Outlook
    • 5 installs on desktop or mobile devices
  • Minecraft: Education Edition and Code Builder
  • Window 10 enterprise upgrade
  • Access to Microsoft's Shape the Future Programme

Learners

All learner MIS accounts with consent for Hwb Additional Services will automatically be allocated an Office 365 ProPlus licence as part of the user provisioning process.

Once learners are marked as a ‘leaver’ in the MIS and the Provisioning Client runs, the account will be automatically deactivated and licences removed.

Staff

Schools will be allocated a quota of Office 365 ProPlus licences based on their PLASC return numbers for Qualified Teachers, Teaching Assistants and Higher Level Teaching Assistants.

Digital Champions and Hwb administrators will be able to allocate these licences to MIS staff accounts (those listed under ‘View Staff’ in the User Management Portal) via the User Management Portal:

  1. Log in to Hwb and navigate to the User Management Portal.
  2. Click Administration > Manage M365 Licences.
  3. You will see an overview of the allocation of licences for your school followed by a search box and a list of MIS staff. Locate the relevant staff member using the Search term field as appropriate e.g. type surname and click Search.
  4. Click Allocate Licence next to the relevant user.

It may take up to 1 hour for the licence to be applied to that user.

  1. Log in to Hwb and navigate to the User Management Portal.
  2. Click Administration > Manage M365 Licences.
  3. You will see an overview of the allocation of licences for your school followed by a search box and a list of MIS staff. Click on the tick box to the left of the relevant staff members.
  4. Click Allocate Licence at the top of the list.

It may take up to 1 hour for the licence to be applied to that user.

Once staff are marked as a ‘leaver’ in the MIS and the Provisioning Client runs, the account will be automatically deactivated and licences removed. The licences will then be available to be reallocated to another staff member in the User Management Portal. Alternatively, Digital Champions and Hwb administrators can manually remove a licence:

  1. Log in to Hwb and navigate to the User Management Portal.
  2. Click Administration > Manage M365 Licences.
  3. You will see an overview of the allocation of licences for your school followed by a search box and a list of MIS staff. Locate the relevant staff member using the Search term field as appropriate e.g. type surname and click Search.
  4. Click Revoke Licence next to the relevant user.

Users with a Microsoft A3 licence applied will be able to download Office 365 ProPlus on up to 5 personal devices including PCs, Macs and mobile devices.

Whilst the User Management Portal and provisioning service will handle licence allocation, software downloads will be available directly from the Hwb Office 365 tenant:

  1. Log in to Hwb and navigate to Office 365.
  2. Click on the Install Office dropdown (in the top right hand corner).
  3. Click Install software.
  4. Under My installs, click Install Office.
  5. Follow the on-screen instructions (installation can take a while depending on the Internet connection speed).
  6. Once installed, open an app such as Word and read and accept "The fine print".
  7. A pop up will appear asking you to select a Default File Type. Select Office Open XML formats > Click OK.
  8. Click Sign in to get the most out of Office (in the top right hand corner) and enter your Hwb username and password. This will connect the additional services to the Office installation, such as OneDrive.
  9. If using Windows 10, accept the prompt. You may wish to un-tick Allow my organization to manage my device and select This app only.

The Welsh Government have been working with Microsoft to ensure our schools can take advantage of the Microsoft Shape the Future programme.

How to access the Shape the Future programme

The Welsh Government has secured a central letter of eligibility for all schools in Wales to access these discounted education devices.  Please contact the Hwb Service Desk (hwb@gov.wales / 03000 25 25 25) to obtain the LOE number to secure the appropriate discounts before asking for quotes from your device manufacturer.  School eligibility will be validated against a Welsh Government maintained school list.


Minecraft: Education Edition is now available to Hwb users with Microsoft 365 licences.

Minecraft: Education Edition is available for Windows, MacOS, and iPad devices and will need to be downloaded on the devices you plan to use with your learners. We recommend using Windows Desktop or MacOS as this will allow you to use the Classroom Mode and Code Connection companion apps, which offer an enhanced Minecraft experience for the classroom.

Consent for Hwb Additional Services is required for learners to access Minecraft: Education Edition. Learners without consent for Hwb Additional Services logged in the User Management Portal will be denied access to Minecraft: Education Edition with their Hwb login details.

  • Minecraft: Education Edition can be downloaded from the Minecraft: Education Edition website.

    1. Navigate to https://education.minecraft.net/get-started/download/
    2. Scroll down to the section of the page titled Downloads by device and platform.
    3. Click on the downwards facing arrow under Windows Desktop for Minecraft: Education Edition to start the download.
    4. Once the download is complete, open the downloaded exe by clicking on the folder either in the downloads bar at the bottom of your browser or in the downloads folder of your device.
    5. The Minecraft: Education Edition Setup Wizard will open. Choose your setup language (Minecraft: Education Edition isn’t currently available in Welsh) > Click Next.
    6. The next prompt will ask if you want to continue to install Minecraft: Education Edition on your device. Click Next to continue.
    7. Read the Microsoft software licence terms for Minecraft: Education Edition and click the appropriate checkbox to accept > Click Next.
    8. You will need to select where you would like Minecraft: Education Edition to be installed on your device. Either leave the default location or click Browse to select an alternative location > Click Next.
    9. If you would like shortcuts for Minecraft: Education Edition to be created on your desktop or Start Menu Programs folder, click the appropriate checkbox > Click Next.
    10. To begin the installation, click Install.
    11. A pop up will appear asking if you want to allow Minecraft: Education Edition to make changes to your device. Click Yes to continue or No to cancel the installation.
    12. This is the final stage of the installation. Click the checkbox if you would like to launch Minecraft: Education Edition once the installation is complete > Click Finish.
    13. Enter your Hwb username (e.g. username@hwbcymru.net) > click Next.
    14. Enter your Hwb password > click Sign in.

    1. Navigate to https://education.minecraft.net/get-started/download/
    2. Scroll down to the section of the page titled Downloads by device and platform.
    3. Click on the downwards facing arrow under MacOS for Minecraft: Education Edition to start the download.
    4. Once the download is complete, open the downloaded dmg by clicking on the folder either in the downloads bar at the bottom of your browser or in the downloads folder of your device.
    5. Drag and drop the Minecraft: Education Edition icon from the folder onto your desktop, or another preferred location on your device.
    6. Double click on the Minecraft: Education Edition icon (on your desktop or other chosen location).
    7. A warning will pop up asking if you want to open Minecraft: Education Edition. Click Open to continue.
    8. Enter your Hwb username (e.g. username@hwbcymru.net) > click Next.
    9. Enter your Hwb password > click Sign in.
  • To manage settings for your learners from a central user interface in Minecraft: Education Edition you need to download Classroom Mode from the Minecraft: Education Edition website.   • Code Connection is an extension to Minecraft: Education Edition which allows educators and learners to explore, create, and play in an immersive Minecraft world – all by writing code.  Code Connection connects to learn-to-code packages like ScratchX, Tynker and a new open source platform called Microsoft MakeCode, where users can find familiar tools, templates and tutorials.
