This guidance is only applicable to learners who are leaving a maintained school in Wales and do not intend to enrol at another maintained school in Wales.

Learners who are leaving a maintained school in Wales, but who will be joining another maintained school in Wales, do not need to follow this guidance.  Your Hwb account will be automatically re-activated when your new school has added your details to their management information system (MIS).

If you are due to leave your current school soon, it is important that you take action regarding your Hwb account, before you leave and the school updates their MIS.  On your leaving date, your account is automatically deactivated and your e-mails and files will no longer be accessible.  If you have signed up to any websites or online services using your Hwb email address, you will need to ensure you update the e-mail address with those services directly, using a non-Hwb email, before your leaving date.

I am changing schools and leaving Hwb.  What do I need to do?

If you are a learner in Nursery to Year 10 and leaving your school to attend another non-maintained school (i.e. schools that do not have Hwb tools and services), you may wish to download your files before you leave. 

It is important that you download any files that you wish to keep before your leaving date as your Hwb account will be automatically deactivated.  If you wish to access your Hwb account after this date you may need to contact your school to request temporary access to your account.

I am in Year 11, 12 or 13 and leaving school at the end of this academic year.  When do I need to take action?

If you are a learner leaving a maintained school and you wish to download your Hwb files, please ensure you complete your downloads before the last Friday in June.  If you wish to access your Hwb account after this date you may need to contact your school to request temporary access to your account.

Downloading files

  • If you are a learner leaving a maintained school and you wish to download your files from Adobe Creative Cloud Express, please ensure you complete your downloads before the last Friday in June.  If you wish to access your Hwb account after this date you may need to contact your school to request temporary access to your account.

  • If you are a learner leaving a maintained school and you wish to download your files from Google for Education through Hwb, please ensure you complete your downloads before the last Friday in June. If you wish to access your Hwb account after this date you may need to contact your school to request temporary access to your account.

  • Many of the Just2easy tools are web-based and so the files created cannot be downloaded. 

    However, it is possible to download any images or PDFs stored in Just2easy.

    1. Login to Hwb
    2. Click on the Just2easy tile
    3. Select the ‘my files’ button
    4. Every file will be represented as an icon. Find the icon for the image or PDF file you wish to download
    5. Hover over the top right corner and click the green ‘i’ information button
    6. Choose ‘download’. Please note, the ‘download’ option will only be visible on PDF or picture files
    7. Files will be downloaded as a PDF, .jpeg or .png file.  Files will be downloaded locally, on your device

    Please note, it is possible to download multiple picture of PDF files at the same time.

    1. Click on the check box on the left edge of the file icon. A tick will appear to show you have selected the file
    2. Repeat for every picture or PDF file you would like to download
    3. On one of the files, hover over the top right corner and click the green ‘i’ information button
    4. Choose ‘download’. Please note, the ‘download’ option will only be visible on PDF or picture files
    5. All files selected will be downloaded as a PDF, .jpeg or .png file.  Files will be downloaded locally, on your device
  • If you are a learner leaving a maintained school and you wish to download your files from Microsoft OneDrive through Hwb, please ensure you complete your downloads before the last Friday in June.  If you wish to access your Hwb account after this date you may need to contact your school to request temporary access to your account.

    1. Login to Hwb
    2. Click on the Office365 tile
    3. Select OneDrive
    4. Hover to the left of the file or folder you wish to download. A circle will appear in order for you to select the file or folder.
    5. Click the circle next to the files or folders you wish to download.
    6. Click the ‘download’ button
    7. Your files will be downloaded and stored locally on your device

    Please note: you can select and download multiple files and folders simultaneously.  The downloaded files will be stored locally on your device inside a zipped folder.

    Important:

    You may have files stored in other areas of Office 365, such as within Teams, OneNote, Sway or Stream.  Please visit each icon individually to download your files.
