Hwb accounts for staff and learners will be automatically deactivated when they are recorded as ‘leavers’ in a school’s MIS (e.g. SIMS, Teacher Centre). 

Accounts for ITE Students, school governors, local authority and REC users must be manually deactivated by a school’s Digital Champion or Hwb administrator.

When a learner leaves a school and is recorded as a ‘leaver’ in the school’s MIS (e.g. SIMS, Teacher Centre) their account will be automatically deactivated when the Provisioning Client next runs successfully. 

When a staff member leaves a school and is recorded as a ‘leaver’ in the school’s MIS (e.g. SIMS, Teacher Centre) their account will be automatically deactivated when the Provisioning Client next runs successfully. 

If a governor leaves a school’s governing body, a Digital Champion or Hwb administrator must manually deactivate their account in the User Management Portal.

  1. Log in to Hwb and navigate to the User Management Portal.
  2. Click View Users > View Governors.
  3. Locate the relevant governor using the Search term field as appropriate e.g. type surname and click Search.
  4. Click on the View Details button (to the right of the user’s details).
  5. Click Manage User > Deactivate.
  6. A warning message will appear: “Are you sure you wish to deactivate this account?
  7. Click Yes to continue (or Cancel to cancel the action).

If a non-MIS user leaves a school, a Digital Champion or Hwb administrator must manually deactivate their account in the User Management Portal.

  1. Log in to Hwb and navigate to the User Management Portal.
  2. Click View Users > View Non-MIS.
  3. Locate the relevant governor using the Search term field as appropriate e.g. type surname and click Search.
  4. Click on the View Details button (to the right of the user’s details).
  5. Click Manage User > Deactivate.
  6. A warning message will appear: “Are you sure you wish to deactivate this account?
  7. Click Yes to continue (or Cancel to cancel the action).

If an ITE student (non-MIS) leaves a school prior to the completion of their placement, a Digital Champion or Hwb administrator must manually deactivate their account in the User Management Portal. They must inform the ITE students of this to ensure they have the opportunity to remove any content they wish to  retain.

  1. Log in to Hwb and navigate to the User Management Portal.
  2. Click View Users > View Non-MIS.
  3. Locate the relevant governor using the Search term field as appropriate e.g. type surname and click Search.
  4. Click on the View Details button (to the right of the user’s details).
  5. Click Manage User > Deactivate.
  6. A warning message will appear: “Are you sure you wish to deactivate this account?

Click Yes to continue (or Cancel to cancel the action).
